AI employees

Your next employee doesn't need a desk.

Deploy AI assistants that work alongside your team and handle repetitive operational work around the clock.

AI employee
An AI employee is an AI-powered system configured to perform a specific business role — such as executive support, sales, customer support or operations — using the company's existing tools, within rules a human defines. It handles the repetitive part of that role and passes anything sensitive to a person for approval.

What is an AI employee?

An AI employee is an AI-powered system configured to perform a specific business role using your existing tools, within rules you define.

The difference from a general chatbot is scope. A chatbot answers whatever it is asked. An AI employee is given one job — the inbox, the pipeline, the support queue, the back office — with instructions, tone and limits written for that job, and access to the systems that job runs on.

The difference from an autonomous agent is authority. An AI employee does not decide on its own what is worth doing. What it may act on, what it must draft for review, and what it must never touch are set before it goes live.

What can an AI employee do?

It handles the repeatable parts of a role: drafting and sorting email, scheduling, qualifying inbound leads, triaging support requests, updating CRM records, and producing routine summaries and reports.

The useful test is whether a task is repeatable and describable. If you can write down how a competent person would do it, it is a candidate. If the answer depends on knowing a client personally or on a judgement you would not delegate to a new hire, it is not.

Can an AI employee work with the software we already use?

Yes. AI employees are connected to the tools a team already works in — email, calendar, CRM, helpdesk, databases and messaging — rather than adding another place to check.

Where a tool has an API, it can be connected directly. Where it does not, the workflow is usually rebuilt around the parts that can be, rather than forcing an integration that will break.

What is the difference between an AI assistant and an AI agent?

An AI assistant responds to requests and works within a defined scope. An AI agent plans and takes multi-step actions towards a goal with less step-by-step direction. Nolojia's AI employees sit closer to the assistant end deliberately, because bounded behaviour is auditable and unbounded behaviour is not.

What it is

Not a chatbot. Not an autonomous agent.

An AI employee is a configured assistant with a defined job, real access to your systems, and clear limits on what it may do without a person.

Scoped to a role

An AI employee is configured for one job — inbox, pipeline, support queue, back office — with instructions, tone and rules written for that role rather than a generic chatbot prompt.

Connected to your tools

It works inside the systems you already use: your inbox, calendar, CRM, helpdesk, database and messaging. No new place for your team to check.

Bounded by rules you set

What it may do on its own, what it must draft for review, and what it must never touch are decided before it goes live — and are changeable afterwards.

Reviewable after the fact

Actions are logged. When something goes wrong you can see what happened, why, and fix the rule rather than guess.

To be direct: we do not deploy AI that makes unsupervised commercial decisions about your business. Anything that commits you — pricing, contracts, refunds, a first message to a new customer — is drafted and held for a person.

Profiles

Four roles we deploy today.

Each one comes with a defined scope, an integration set and a documented point where a person takes over.

Executive AI Assistant

Keeps the day running

Triages your inbox, protects your calendar and makes sure the follow-up you promised actually happens.

  • Email
  • Calendar
  • Meetings
  • Research
  • Follow-ups
  • Travel coordination

Human in the loop: Anything that changes a commitment to a client, or leaves your organisation for the first time, is queued for your approval.

Example

You

Prepare tomorrow's meeting schedule.

Executive AI Assistant

Done. I reviewed tomorrow's calendar, moved the one conflicting appointment, drafted an agenda for each meeting and notified the participants.

  • CalendarMoved 11:00 vendor call to 15:30
  • DocsAgenda drafted for 3 meetings
  • Email4 participants notified

Illustrative example of the role’s scope, not a recording of a customer session.

Sales AI

Never lets a lead go cold

Qualifies inbound leads against your criteria, keeps the CRM accurate and runs the follow-up sequence on time.

  • Lead qualification
  • Follow-ups
  • CRM updates
  • Outreach
  • Meeting scheduling
  • Pipeline management

Human in the loop: Pricing, discounts and proposals are drafted for a person to review — never sent automatically.

Example

You

New enquiry from a 40-person logistics company.

Sales AI

Qualified against your ICP — good fit. I created the CRM record, drafted a personalised reply and put a follow-up on the calendar for Thursday.

  • CRMDeal created · stage: Qualified
  • EmailPersonalised reply drafted
  • TaskFollow-up scheduled Thu 09:00

Illustrative example of the role’s scope, not a recording of a customer session.

Customer Support AI

Answers fast, escalates well

Handles the questions your team answers every week, and routes everything else to the right person with context attached.

  • Customer questions
  • Support requests
  • FAQs
  • Ticket routing
  • Onboarding
  • Escalations

Human in the loop: Refunds, complaints and anything outside the knowledge base go to a person with the full thread attached.

Example

You

Customer asks why their invoice looks different this month.

Customer Support AI

Answered from your billing knowledge base, attached the itemised breakdown and flagged the ticket for finance because the amount changed by more than 20%.

  • TicketReplied · resolution time 40s
  • RoutingFlagged to finance for review
  • KBGap logged for a new article

Illustrative example of the role’s scope, not a recording of a customer session.

Operations AI

Keeps the back office moving

Handles the structured, high-volume work that quietly consumes your team — data, documents, reporting and coordination.

  • Data entry
  • Reports
  • Documentation
  • Internal workflows
  • Task coordination
  • Process management

Human in the loop: Anything that writes to a system of record follows a rule set you define, and exceptions stop for review.

Example

You

Close out this week's operations report.

Operations AI

Pulled the numbers from your database and project tool, built the weekly report, highlighted the two metrics that moved more than 10% and shared it with the ops channel.

  • Data142 records reconciled
  • ReportWeekly summary generated
  • SlackPosted to #operations

Illustrative example of the role’s scope, not a recording of a customer session.

Deployment

How an AI employee goes live.

Nothing is switched on because it looked good in a demo. It earns each permission on your real work first.

  1. Connect

We connect the assistant to the systems its role needs, with the narrowest permissions that let the job get done.

  2. Configure

We write the role: what it handles, in what tone, against which rules, and where it must stop and ask a person.

  3. Run in shadow

It drafts and proposes before it acts, so your team can correct it on real work rather than on a demo.

  4. Go live

Once its output is consistently right, the safe actions are released to run automatically. The rest keeps its approval step.

Integrations

Works with the tools your business already uses.

We build against the platforms you already pay for. Every connection is configured for your setup rather than shipped as a generic connector.

How Nolojia works

From manual work to intelligent systems.

Four steps, in order. We do not start building until we understand where your time actually goes.

  1. 01

    Discover

We map your business, workflows, bottlenecks and goals — and work out where the time actually goes.

    • Process walkthrough with the people doing the work
    • Tool and data inventory
    • A shortlist of what is worth automating first
  2. 02

    Design

We decide what should be automated, what needs an AI assistant, and what should stay with a person.

    • Workflow design with clear triggers and outcomes
    • Assistant scope, tone and guardrails
    • Approval points wherever the stakes are high
  3. 03

    Deploy

We connect your systems, configure the workflows and put your AI workforce to work in production.

    • Integration and access setup with least privilege
    • Assistant configuration and testing
    • Team walkthrough and handover documentation
  4. 04

    Optimise

We monitor how the system performs, fix what breaks and extend it as your operation changes.

    • Run reviews on real output, not dashboards alone
    • Tighten prompts, rules and routing
    • Add the next workflow once the first is stable
